The challenge
Quotes were written in email, stock levels were checked by walking to the shelf, and finance rebuilt the same customer details in accounting every time an order closed. Nobody could say what was in the pipeline without asking three people.
Objectives
- Put every quote and order in one system
- Remove double entry between sales and accounting
- Make stock levels visible at the point of quoting
- Get signed approvals without printing anything
What we built
A staged Zoho One implementation covering CRM, Books, Inventory, Forms, Sign and Flow — configured to the existing sales process rather than asking the team to adopt a new one, then connected so a won deal produces the sales order, the stock movement and the invoice.
Technology
Deluge · Zoho Books · Zoho CRM · Zoho Flow · Zoho Forms · Zoho Inventory · Zoho Sign
How it was delivered
- Milestone 1: CRM configured, historic customer data migrated and validated
- Milestone 2: Books and Inventory connected, quote-to-invoice flow built
- Milestone 3: Forms and Sign for approvals, Flow for the cross-app triggers
- Deluge functions for the pricing logic the standard fields could not express
- Role-specific training sessions plus recorded walkthroughs
Outcomes
- Quoting, stock and invoicing run from one record instead of three systems
- Finance stopped re-typing customer and line-item details
- Pipeline is visible to the owner without asking the sales team
- Approvals are signed digitally and filed against the deal automatically
